Title
Discuss and consider action to approve a change order with Ford AV in the amount of $55,783.75 to provide audio visual improvements for the Pflugerville Community Library Expansion and Renovation Project and authorizing the City Manager to execute the same.
 
Summary
As a result of the Pflugerville Community Library Expansion and Renovation Project falling within budget, the audio visual installations have been reviewed in conjunction with the anticipated use and demand of the improved facilities and programs. Even as the construction continues, library patronage has increased and is projected to continue. The current contract partially funded the audio visual needs of the facility due to staff's conservative approach to funding only the essential elements of the project. Approval of this change order will enable the library to be equipped with presentation and programming audio visual equipment in each of the five meeting areas as well as the courtyard. The audio visual components included in the new contract price enable the library to be fully furnished with a public address system, and audio visual capabilities to fulfill a myriad of formats and audiences to enhance the overall experience and utilization of the library. A narrative explanation of the significant components of the proposed change order is attached as well as an annotated version of the change order relating it to the narrative.
 
Status
The expansion of the library is anticipated for completion in December, and open to the public in mid January 2013. Renovation of the existing library is planned for completion on or before the April 13, 2013 contracted delivery date.
 
Deadline for City Council Action
Staff is requesting action on November 27, 2012 to maintain the current project schedule.
 
Fiscal Impact
There is no impact to the FY 2013 operating budget.  Funding for this change order will be paid through the general obligation bond funds approved for the library expansion and renovation project.
 
Staff Recommendation
Staff recommends approval.
