Title

Discuss and consider action to approve RFP: 033 regarding Existing Roof Maintenance in the amount of $68,940 and Change Order Number Two for the Pflugerville Community Library Expansion and Renovation Project in the amount of $157,562.20 and authorizing the City Manager to execute the same.

 

Summary

RFP: 033 addresses existing roof maintenance on the Pflugerville Community Library structure that was constructed in 1999. As noted in the attached summary, the project team investigated various options, up to and including replacement of the roof at a cost of $250,582.70. The estimated cost of $68,940 requires authorization of the City Council to proceed although Change Order Number Two incorporates roof maintenance costs as presented.

 

For Change Order Number Two, an itemized summary of the costs associated with the change order is attached, as is an explanation of the circumstances that contributed to the need to include it in the project. Collaborative efforts of the project team and the owners' project representative minimized the expense associated with each of the items to insure costs and warrants were justified. 

 

This Change Order considers RFP: 015 through 036.

 

Nineteen Requests for Proposal (RFPs) were approved, two of which were reductions in cost. Fifteen of the RFPs are accumulated in Change Order Number Two as additional costs. Three of the RFPs (020, 021, and 023) are considered as project contingency costs and are listed in the attached summary. RFP: 022 was not used. If approved, the new contract amount will be $4,432,998.11, representing  a 9.76 percent increase to the original construction contract.

 

Status

The library expansion phase of the project is nearly complete, and is anticipated for opening to the public in early January 2013. The renovation phase of the project is anticipated to take 60 days. The project remains on schedule for completion by April 13, 2013.

 

Prior City Council Action

The construction contract was awarded to Lee Lewis Construction on December 9, 2011 in the amount of $4,038,740. Change Order One for $236,695.91 was approved by the City Council on July 24, 2012, increasing the contract amount to $4,275,435.91.

 

Deadline for City Council Action

Staff is requesting action on this item so as not to delay construction progress.

 

Fiscal Impact

The project remains within budget of the funds allocated to this project.

 

Staff Recommendation
