Awarding the contract for the Pflugerville Community Library telephone system to the lowest responsive bidder, IT Works, in the amount of $54,641.00 and authorizing the City Manager to execute same.
Summary
The expansion and renovation of the Pflugerville Community Library is ongoing at this time. One aspect of the construction contract is the installation of a voice over internet protocol (VOIP) telephone system that will complete the connectivity project started several years ago with the conversion of the City Hall telephone system to VOIP. This system allows transfers throughout the city which provides better customer service. The installation of VOIP was completed at the Parks Department about a year ago, and the Public Works Department will be connected the week of October 8. Following the installation at the Library, the entire city will be on one telephone system, with the exception of the water treatment plant which will be done in the future. This VOIP system has saved the City money as long distance charges have been reduced.
The project was advertised for bids on August 15 and 22, 2012. Four bids were received and evaluated. The bid tabulation is attached to this agenda item.
Deadline for City Council Action
The library will move into the new expanded section of the facility during December 2012 while the existing building is renovated. Approving this contract at this time will insure that the system is installed and operational at that time.
Fiscal Impact
The funding for this project will be taken from the general obligation bonds approved for the expansion of the Pflugerville Community Library.

Award the contract for the Pflugerville Community Library telephone system to IT Works in the amount of $54,641.00 and authorize the City Manager to execute the contract.
